1. Identify the exact product

A shared photograph may show several heights or a family of related finishes. Keep the model reference beside every line on your buying sheet, followed by the required dimensions. If the catalogue lists multiple heights under one reference, state which heights you want and how many of each.

Compare the lighting effect as well as the outer appearance. A moving-flame design and a fixed LED wick may look similar in an unlit photograph, but they are different selections. A lit sample is the better basis for approval.

2. Make quantities comparable

Separate pieces, sets and retail packs. An order for 1,000 three-piece sets contains 3,000 candles, but its packaging and carton requirements differ from 3,000 loose candles. State the contents of each sales unit and the quantity of sales units required.

Where carton quantities and volume are listed, use them as a planning reference and request final packing confirmation with the quotation. Changes to a retail pack can change the outer carton.

3. Define power and product information

Ask for the battery type and whether batteries are included. If runtime, a timer, remote operation or water resistance matters to the project, request confirmation and relevant information for the selected model. Do not copy a feature from a neighbouring product into the specification.

Tell the supplier the destination market. Ask for the documentation applicable to that exact model and discuss the product information and labels that will appear on the pack.

4. Agree the sample and delivery stages

Distinguish an existing catalogue sample from a custom development sample. Confirm sample charges, delivery costs, the approval process and the changes included in the brief.

A production lead time is one part of the schedule. Artwork, sample review, shipping and destination handling also affect the arrival date. Give the required delivery window and ask for the stages to be identified in the quotation.
